Job title: Client Service Specialist

About the Role The Client Service Specialist provides administrative support to timekeepers, other internal clients, and external clients in the Washington, DC office. This role helps ensure efficient operation, seamless service delivery, and accurate billing and matter management.

What You'll Do

  • Maintain a consistent physical presence to facilitate an interactive and collaborative environment, optimizing cross-training and peer support.
  • Coordinate legal practice tasks and projects and manage the administrative needs of attorneys to meet client requirements.
  • Coordinate administrative functions including finance/billing tasks, time/expense entry, opening new matters, client presentations, meetings, and other projects.
  • Coordinate with Firm resources for task handling.
  • Prepare complex legal documents and correspondence; file with the appropriate court or agency; maintain client materials in the document management system.
  • Apply subject matter expertise to coordinate legal tasks and ensure client materials and matters are properly managed.
  • Coordinate support through the Finance Department, including editing and reviewing client bills and promoting time-entry best practices.
  • Review and support client billing processes, including proofreading, applying task codes, rates, write-offs, expense reporting, and audits; maintain billing protocol consistency.
  • Assist in coordinating and planning client events to ensure successful execution and positive client experiences.
  • Work both independently and in a team to support timekeepers; overtime as needed and demonstrate initiative and innovation.

What We're Looking For

  • Bachelor’s degree (preferred).
  • At least 4 years of legal secretarial experience or relevant legal experience (required).
  • Corporate transactional experience (preferred).
  • Uphold a professional presence and foster a respectful, positive work environment.
  • Proficiency in MS Word, Outlook, Excel, PowerPoint, document management, and timekeeping.
  • Excellent written and oral communication skills with the ability to meet deadlines and support Firm policy.

Nice to Have

  • Corporate transactional experience (preferred).

Compensation & Benefits

  • Salary: USD 84,000 - 115,000 per year.
