About the Role The Department of Home Affairs seeks a Civic Services Officer to support and supervise civic services across multiple regional offices. The role focuses on ensuring quality service delivery, efficient operations, secure records handling, and processing of ID, birth, marriage and death registrations, as well as travel and citizenship documents. What You'll Do

Supervise the daily operations of civic services offices.

Ensure effective service delivery and assist staff where service standards are not met.

Produce quality reports on turnaround times and error rates.

Implement quality assurance measures to maintain service quality.

Safeguard records/documentation in line with DHA requirements.

Allocate work to staff and monitor progress against daily targets.

Perform end-of-day duties for reporting and performance statistics.

Identify operational challenges and propose corrective actions to superiors.

Detect trends and take corrective action.

Perform overriding functions on systems.
-
Ensure full implementation of all relevant SOPs.

Manage incidental matters to identify illegal foreigners who are arrested, detained or convicted.

Supervise the application of ID smart cards, birth, marriages and deaths registration, late registration, rectification and amendment of particulars, and issuing travel and citizenship documents.

Ensure effective and efficient management of human, physical and financial resources within the unit. What We're Looking For

Undergraduate qualification (NQF level 6 or higher) in Public Management, Public Administration, Operations, Business Management, Management, Administration, Law or Social Science within these fields.

1 year experience in operations, client or customer services environment.

Knowledge of front office operations.

Extensive knowledge of filing systems.

Knowledge of fingerprint verification.

Knowledge and understanding of Civic Services Regulatory Framework.

Knowledge of the Public Service Regulatory Framework.

Knowledge of Supply Chain Management processes and procedures.

Valid Driver's License.

Willingness to travel and work extended hours; overtime and weekend work may be required occasionally.
