Cashier / Accounts Assistant

Key Responsibilities

• Receive and accurately record cash, M-Pesa, bank and card payments

• Issue invoices and receipts and ensure all transactions are entered accurately into Tally

• Reconcile daily sales, cash, M-Pesa and bank collections

• Record company expenses and maintain complete supporting documentation

• Monitor stock movements, conduct regular stock counts and report any discrepancies promptly

• Maintain accurate customer debtors' records and follow up on overdue payments

• Track supplier invoices, payment due dates and outstanding balances

• Assist with maintaining statutory records and ensure all relevant information is prepared on time

• Submit daily reports covering sales, collections, expenses, outstanding debts, supplier payments and stock issues

• Assist customers, support sales activities and handle general shop administration

• Assist the sales team when required by preparing customer quotations, pro forma invoices and other sales documents

• Respond to customer enquiries, provide product information and help follow up on quotations and pending orders

• Support the preparation and processing of customer orders, ensuring prices, quantities and payment terms are accurately recorded

• Qualifications and Experience

• Certificate or diploma in Accounting, Finance, Business Administration or a related field

• At least 2 years of experience in cashiering, accounts administration, inventory control or retail operations will be an added advantage

• Experience using Tally accounting software is highly desirable, or any other accounting program

• Good working knowledge of Microsoft Excel

• Knowledge of bookkeeping, stock control, debtors, creditors and payment reconciliation

• Basic understanding of statutory compliance requirements in Kenya

• Experience preparing quotations, invoices or other sales documents will be an added advantage

• Key Performance Expectations

• Accurate and timely entry of all transactions into Tally

• Daily reconciliation of cash, M-Pesa and bank collections

• Timely submission of daily sales and expense reports

• Proper monitoring of stock, customer debts and supplier payments

• Prompt reporting of discrepancies and unusual transactions

• Accurate and up-to-date maintenance of financial and statutory records

• Accurate and timely preparation of customer quotations and sales documents

• Prompt follow-up on customer enquiries, quotations and pending orders
