The role

This is a hands-on individual contributor role working directly with the founders. You’ll manage projects, processes, and client relationships rather than a team of direct reports.

You’ll work closely with the founders and engineering team across company operations, client relationships, and project execution. Your work could range from coordinating payroll and onboarding employees to managing a client onboarding process or rolling out a new internal system.

We’re looking for someone who uses AI tools effectively in their everyday work. You should be able to identify repetitive tasks, build more efficient workflows, and turn scattered information into clear, useful outputs. You’ll pair that efficiency with careful judgment, especially when working with sensitive information.

What you’ll do

  • Run company operations. Coordinate payroll, benefits administration, employee onboarding and offboarding, expenses, vendor invoices, and internal records.
  • Own projects from start to finish. Translate goals into practical plans, coordinate stakeholders, manage deadlines, and follow through to completion.
  • Manage client relationships. Guide clients through onboarding, coordinate documentation, answer operational questions, and keep them informed as issues are resolved.
  • Improve efficiency with AI and automation. Build repeatable workflows for research, reporting, documentation, and administrative work. Review outputs for accuracy and use appropriate tools for confidential data.
  • Support financial operations. Help reconcile records, investigate discrepancies, prepare reports, and track payment or account issues through resolution.
  • Handle sensitive information responsibly. Maintain accurate customer, employee, and financial records while following access and approval procedures.
  • Coordinate external partners. Keep work moving with banking partners, compliance providers, accountants, legal counsel, and vendors.
  • Create processes that scale. Document workflows, maintain clear reporting, and resolve recurring operational bottlenecks.

What we’re looking for

  • A technical diploma or degree in a relevant field.
  • At least 2 years of experience in operations, project management, implementation, or a relevant technical field.
  • Proficiency with AI tools and practical experience using them to improve productivity, automate repetitive work, or simplify complex workflows.
  • Strong spreadsheet skills and comfort working with data and learning new software.
  • Excellent organization and the ability to manage multiple priorities without losing track of details.
  • Clear, professional communication and confidence working directly with clients and external partners.
  • Sound judgment when handling confidential information and financial records.
  • Initiative, curiosity, and a habit of taking ownership through completion.

Nice to have

  • Experience at a startup, fintech company, or financial institution.
  • Familiarity with payroll, bookkeeping, reconciliation, payments, or business onboarding.
  • Experience building workflows with automation platforms, APIs, SQL, or basic scripting.
  • Experience supporting KYC/KYB processes or managing sensitive customer documentation.

Why join Hourglass

  • $80,000–$100,000 base salary plus equity.
  • Meaningful ownership at a fast-growing, early-stage company.
  • Direct collaboration with the founders and engineering team.
  • The opportunity to build systems and processes that shape how the company operates.
  • Room to grow into broader responsibilities as Hourglass scales.
