About this role

Job title: Business Operations Analyst (Afternoon Shift)

About SpotOn

We’re not just building restaurant tech, we’re giving independent restaurants the tools to compete and win. From our award-winning point-of-sale to AI-powered profit tools, everything we do helps operators boost profit, work smarter, and keep their best people. And every solution is backed by real humans who actually give a sh*t about helping restaurants succeed.

  • Named the #1 Restaurant POS by G2 (Summer 2026), based on ratings from real users

  • Rated the top-rated point-of-sale (POS) for restaurants, bars, retail, and small businesses by Capterra users

  • Awarded Great Places to Work and Built In’s Best Workplaces for multiple years running

We move fast, care hard, and fight for independent restaurant operators to do what they love, and love doing it. If you’re looking to make an impact with heart and hustle, SpotOn is the place for you.

This is a build role. A lot of the tools and processes it needs aren’t built yet. Some don’t exist at all, some live in spreadsheets and inboxes, and nobody is waiting to hand you a playbook. You’ll find the gaps, build what’s missing, get people to use it, and then run it and make it better.

You’ll be the right hand to SpotOn’s Partnership & Operations Manager and an instrumental partner to the rest of the company: Sales, Product, Marketing, Engineering, Customer Success, Finance, Legal, and everything in between. We expect this role to grow with the company, and we’re looking for someone who will grow into it.

You’ll work hybrid from our Kraków office (3 days per week in the office, 2 days remote after probation), with core hours of about 16:00-00:00 PL time so you overlap with US Central mornings. If you’d rather build the thing than wait for it, this role is for you.

On a daily basis, you will:

  • Design and run vendor intake: every request has a sponsor, a budget owner, a clear problem, and a business case before a demo gets booked.

  • Build the path from request to signature through Finance, Security and Privacy, Legal, and Product review, and make it visible, so anyone can see where a request is stuck and why.

  • Build the contract and renewal calendar: owners, terms, notice windows, and auto-renewal dates. Nothing renews by surprise.

  • Pull software and vendor contracts into one view of spend, and go find the spend that sits outside it.

  • Support the commercial side: RFPs, evaluation scorecards, pricing benchmarks, total-cost models, and negotiation prep.

  • Model open purchase orders and hardware commitments, so leadership knows what we’ve committed to buy and when the cash goes out.

  • Help stand up our spend-management workflows: approval routing, thresholds, and review timelines.

  • Prepare the Partnership & Operations Manager for meetings: the context, the open items, and what we need out of the room.

  • Turn meetings into decisions, actions, owners, and due dates. Keep the tracker of open asks and commitments current, and chase what is late.

  • Build deliverables: weekly operations updates, quarterly business reviews, leadership decks, status reports, and executive summaries, with every number traced to its source.

  • Run the analysis behind them: data pulls, cost models, vendor and installation economics, and scenario comparisons.

  • Support SpotOn’s merchant deployment strategy: installation partners, field-service operations, and rollouts of new devices.

  • Track partner performance, cost, and capacity, and find what slows deployments down.

  • Build the tools the team needs with AI and no-code platforms (trackers, intake forms, dashboards, custom assistants, and automations), inside our security and data rules.

  • Find the operations workflows where AI saves real time, pilot them, train the teams, and measure adoption.

  • Go find the people who own the answer, in any department, and build working relationships before you need them.

  • Bring teams together on processes that no single department owns.

  • Turn what you learn into documented, repeatable processes that outlast any one meeting.

What skill are we searching for?

  • Builder mindset: you’ve created something from nothing (a process, a tracker, a program, or a tool) and people actually adopted it.

  • Self-starter and go-getter: you find the answer, the owner, or the data without being told where to look.

  • Comfort with ambiguity: you bring structure to messy problems and stay steady when priorities shift.

  • Influence without authority, across departments and levels.

  • Daily, expert use of AI assistants such as Claude, ChatGPT, or Gemini for research, analysis, writing, and meeting synthesis. You build reusable prompts, custom assistants, and AI workflows; no coding required.

  • The judgment to check AI output against the source, and to know when not to use it.

  • Comfort reading SaaS contract terms (order forms, MSAs, DPAs, renewal and termination clauses).

  • Strong spreadsheet and modeling skills in Excel or Google Sheets.

  • Clear, concise writing: you can turn a messy thread into a one-page summary.

  • Familiarity with Salesforce, Jira or Confluence, BI dashboards, no-code automation (Zapier, Make, or similar), or basic SQL a plus.

  • A desire to grow with the company, and with the role.

  • Fluent in English and Polish (written and verbal).

  • Bachelor’s degree in Business Administration, Finance, Economics, Operations or Supply Chain Management, or related field preferred.

  • 3-5 years in business operations, procurement, vendor management, or operations analysis, ideally somewhere you had to build the process rather than inherit it.

  • Hands-on experience with vendor intake, contract renewals, or procurement workflows.

  • Experience in payments, fintech, point-of-sale, restaurant technology, field-service operations, or SaaS environments a plus.

  • Experience with spend-management or procurement platforms (Ramp, Coupa, Zip, or similar) a plus.

Here’s a bit about what we have to offer

  • Competitive pay: 9800 - 13 500 PLN gross on CoE

  • Fully paid private healthcare in LuxMed

  • Access to the Worksmile platform with a monthly top-up

  • Subsidized access to breakfast and lunch through the vending machine in Kraków office, and lunches in Gdańsk office once a week

  • A laptop and essential work equipment provided by the company

  • New, modern, bright and comfortable office space in the city centre

  • Access to the company’s library

  • Great working atmosphere

  • Chill out room with a PlayStation and games

  • Free snacks and beverages in a kitchen

  • Company parties and social activities

  • Employee referral program

  • Relocation Package within Poland
