Role overview
You own the monthly books for a growing roster of small business clients. You take work off the founder's desk, keep every client file clean and review-ready, and spot issues before they become problems at tax time. From January to April you support a tax season of more than 100 returns.
Key responsibilities
-
Monthly bookkeeping
-
Manage monthly bookkeeping for 10 to 20 small business clients in QuickBooks Online (Xero for some clients).
-
Categorize transactions, maintain bank feeds and rules, and reconcile bank, credit card and loan accounts every month.
-
Process accounts receivable and accounts payable: invoices, bills, payment tracking and aging reports.
-
Record payroll journal entries and reconcile payroll liabilities from Gusto, ADP or QuickBooks Payroll reports.
-
Cleanup and catch-up
-
Clean up and catch up books that are months behind, including rebuilding them from bank statements when records are missing.
-
Reporting and review
-
Prepare month-end and year-end packages: P&L, balance sheet, reconciliation reports and a short list of open questions.
-
Flag unusual transactions, owner draw vs. payroll issues and missing documentation for the founder's review.
-
Use Excel for reconciliations, schedules and data cleanup.
-
Tax season (January to April)
-
Prepare year-end workpapers for business returns (Forms 1120-S, 1065 and Schedule C) and track 1099 vendors.
-
Support return intake: organize client documents and track what is still missing.
Requirements
- 3+ years of bookkeeping for U.S. small businesses. S corporation and partnership experience strongly preferred. A CPA license is not required.
- Advanced QuickBooks Online skills. QuickBooks ProAdvisor certification preferred; Xero a plus.
- Solid grasp of U.S. GAAP basics, accrual vs. cash accounting and the U.S. tax calendar.
- Strong Excel skills (pivot tables, XLOOKUP). Power Query a plus.
- Fluent professional English, written and spoken (C1 or higher). You can write a clear client email explaining what you need and why.
- Exceptional attention to detail. You are deadline-driven and comfortable working independently from checklists.
- Bachelor's degree in accounting, finance or business preferred.
