The successful candidate for this position will play an essential role on the corporate proposal team and will have two primary areas of responsibility. First, as a Senior Proposal Writer, they will lead the process of preparing proposals and RFP responses primarily focused on new business opportunities. Projects may range from small, template-based quotes to full procurement-driven Requests for Proposal (RFPs) and other RFx processes.

The second core duty in this role will be to act as Team Lead for a small group of more junior writers, primarily in the Quebec region. The successful candidate will provide mentorship and support to their colleagues with particular focus on understanding and navigating the procurement guidelines frequently encountered in Quebec public sector tenders. While the focus of this role will be to support the Québec market, as part of a national team they will also be engaged to provide support in both French and English for projects across Canada according to the needs of the broader corporate proposal team.

The Senior Proposal Writer/Team Lead will work with cross-functional teams throughout the organization including sales teams, various subject matter experts, and members of senior leadership as required. They will form part of the leadership group of the corporate proposal team and aid in the ongoing development of other team members.

The Senior Proposal Writer/Team Lead will be responsible for developing a thorough understanding of GreenShield’s portfolio of solutions and, both individually and through mentorship, contributing to the tailoring of proposals to speak to the specific needs of prospective clients based on the information available.

  • Complete a thorough analysis of the requirements to respond to various RFx procurement processes.
  • Develop clear, accurate, and compelling content to respond to the specific needs of the prospective client(s).
  • Collaborate with the business development team and other internal stakeholders to define response strategies and key discriminators and convey that information clearly in proposals.
  • Act as a Project Manager to all stages of the proposal process including the coordination and leading of kick-off and status meetings, ensuring compliance with procurement rules/requirements and delivering all proposals in advance of the submission deadline.
  • Ensure 100% compliance with procurement requirements and the on-time submission of all proposals and RFx responses.
  • Writes and edits proposals for readability, consistency, and appropriate tone.
  • Monitor and manage “look and feel” of final proposal documents by editing for style, accuracy, content and quality of language.
  • Draft new content to customize responses, where appropriate.
  • Contribute to the development and maintenance of a central database of proposal content.
  • Support coordination of non-standard proposals.
  • In addition to the above, the successful candidate will be asked to work with the leadership of the proposal team to support the development of less experienced team members in completing the same functions outlined above.
  • Collaborate on any other communication writing on an ad hoc basis.
  • Performs other duties as assigned by management.

  • An individual who is comfortable working on tasks independently while being part of a broader team working together to achieve common goals.
  • Must provide strong attention to detail.
  • Entrepreneurial aptitude, positive attitude, customer-focus, and interest to learn.
  • Advanced computer skills in Microsoft Office.
  • Basic graphic design skills.
  • Experience in group benefits, mental health and/or related industries is considered an asset.
  • Bachelor’s degree in communication, marketing, translation, French or in related field of studies.
  • Previous experience in communication or responding to Request for Proposals (RFP) and Request for Information’s (RFI).
  • APMP Foundation Level certification (or above) or knowledge of APMP best practices is an asset.
  • Previous experience with proposal management applications such as Responsive (RFPIO) or Loopio is an asset.
