AVP of Operations
We are looking for a highly organized operations leader to provide hands-on support to a founder-led nonprofit in Santa Barbara, California. This role blends executive coordination, financial administration, and day-to-day operational oversight to help keep priorities on track and relationships well managed. The ideal candidate brings discretion, sound judgment, and the ability to stay composed while balancing shifting needs in a fast-moving, mission-driven environment.
Responsibilities

Oversee daily administrative and operational activities that support the executive office and ensure priorities are executed efficiently.

Manage calendars, meeting logistics, and ongoing communication on behalf of senior leadership while maintaining professionalism and confidentiality.

Record expenses, reconcile transactions, and prepare basic financial summaries using QuickBooks in coordination with external accounting support.

Monitor invoices, contractor payments, and related documentation to help maintain accurate financial records and compliance readiness.

Organize digital files and shared documents within Google Drive so information remains accessible, current, and easy to track.

Coordinate contractor engagement, scheduling, and onboarding tasks to support smooth execution of organizational needs.

Assist with donor-related coordination, relationship tracking, and follow-up activities to help maintain strong external engagement.

Support event and seasonal operations, including volunteer coordination and logistical preparation when additional coverage is needed.

Demonstrated experience supporting a founder, executive, or senior leader in a nonprofit, startup, or events-based setting.

Strong operational and administrative management skills with exceptional attention to detail.

Hands-on bookkeeping experience, including expense tracking, reconciliations, and financial record maintenance.

Proficiency with QuickBooks and Google Drive for day-to-day finance and document organization tasks.

Ability to handle sensitive information with a high level of discretion and professionalism.

Proven capacity to remain composed under pressure while managing multiple priorities effectively.

Willingness to respond to occasional evening or weekend needs when business demands require added flexibility.
