University of New England - Auxiliary Services Manager
The Auxiliary Services Manager – Laundry, Vending, Mail & Copy provides leadership and oversight for the university’s auxiliary service operations related to mail, package delivery, print/copy centers, laundry services, and vending. This position ensures that students, faculty, staff, and external partners receive timely, efficient, and high-quality services that support the daily academic and residential life of the UNE community.
The Manager is responsible for operational planning, budgeting, vendor relations, scheduling, and long-term strategy for all service areas under their purview. A key focus of the role is the supervision of a team of professional staff members located on both the Portland and Biddeford campuses, who are responsible for day-to-day operations of mail and package centers, print/copy facilities, laundry systems, and vending operations.
The Manager also works closely with external vendors and service partners (e.g., Automatic Laundry, Pepsi, and Kyocera, USPS, FedEx, Pitney Bowes etc.) to maintain contracts, resolve service issues, and implement new technologies that improve efficiency and customer service.
In addition, the Manager collaborates regularly with peer Auxiliary Services Managers (Harold Alfond Forum and Danielle Ripich Commons) on shared responsibilities, cross-training, and coordinated initiatives to ensure a seamless student and community experience across the University of New England.

Responsibilities

Operational Leadership
-
Oversee daily operations of mail/package centers, print/copy services, laundry systems, and vending across the Portland and Biddeford campuses.

Serve as primary point of contact for professional staff, vendors, and campus stakeholders.

Develop and implement operational policies and procedures to ensure consistency and high-quality service delivery.

Staff Leadership

Recruit, train, schedule, and supervise professional staff on both campuses.

Provide mentoring and professional development to foster accountability, teamwork, and service excellence.

Ensure staffing models are efficient and aligned with peak demand cycles on both campuses.

Budget & Resource Management
-
Create, manage, and reconcile budgets for all service areas.

Monitor and approve expenditures while ensuring fiscal responsibility.

Negotiate contracts and oversee vendor performance to maximize value and control costs.

Vendor & Partner Relations

Serve as primary liaison with contracted vendors (Automatic Laundry, Pepsi, Kyocera, etc.).

Coordinate with Facilities, IT, and Finance to ensure seamless integration of auxiliary services with university systems.

Evaluate vendor performance, resolve issues, and recommend contract renewals or adjustments.

Planning & Innovation

Anticipate long-term service needs and recommend strategic improvements.

Explore and implement innovative technologies that enhance mail/package tracking, print/copy efficiency, and laundry/vending reliability.

Develop systems to gather and analyze usage data to support decision-making.

Collaboration & Campus Engagement

Work closely with Housing, Student Affairs, Finance, Facilities, IT, and other stakeholders to support the student experience.

Collaborate with Auxiliary Services Managers (Harold Alfond Forum and Danielle Ripich Commons) to provide cross-coverage and shared best practices.

Represent Auxiliary Operations on committees and task forces as assigned.

Auxiliary User Group Management

Organize and lead the Auxiliary User Group, comprised of representation from Housing, Housekeeping, Area Coordinators, Facilities support staff.

Facilitate regular monthly meetings to gather feedback, coordinate shared use of space, resolve issues, and drive collaboration across departments pertaining to mail, laundry and vending.

Build strong relationships with stakeholders to support student success and campus engagement and enthusiasm around the services provided.
Qualifications
-
Bachelor’s degree in Business Administration, Operations Management, or related field preferred.

3+ years of progressively responsible experience in auxiliary services, facilities operations, or business operations, with supervisory experience.

Experience managing staff across multiple sites or campuses strongly preferred.

Demonstrated experience in budget management and vendor relations.

Strong leadership and communication skills with the ability to manage professional staff and work collaboratively with diverse groups.

Strong organizational and problem-solving skills; ability to anticipate needs and manage multiple priorities.
