Associate Director, Data Integrity Gifts

About this role

About the Role Loyola University Chicago’s Advancement division seeks a collaborative leader to oversee data integrity for gifts and contributions, developing and managing policies for accurate processing, storage, and data in the donor database. The Associate Director will work cross-functionally across Advancement and campus departments and supervise Data Integrity Analysts.

What You'll Do

  • Oversee, report on, document, train, and evolve processes for manual entry, import processes, quality control measures, and fiscally sound processing and corrections/adjustments of gift and advancement-related event transactions.
  • Manage training and communication of complex data and systems to Data Integrity Specialists and a wide range of audiences.
  • Ensure compliance with the Loyola Gift Acceptance Policy, FASB accounting standards, CASE fundraising standards, IRS standards for gifts and gift receipting, and other best practices in higher education fundraising; collaborate with colleagues in Gift Planning, Corporate and Foundation Relations, and other divisions.
  • Collaborate with the Associate Director, Data Integrity Data to ensure clean biodemographic and receipting data during gift entry and related workflows.
  • Support Gift Processing Analysts with in-office procedures (check and credit card processing); ensure gifts are deposited to the bank and reconciled per University policies; manage documentation storage and shredding.
  • Maintain gift records and entry workflows; verify that pledges, gifts, and biodemographic changes are accurate and timely; process gifts as needed based on volume and sensitivity.
  • Conduct quality control: review data for completeness and accuracy, research discrepancies, resolve missing or incorrect information; monitor Gift Corrections queue and ensure documentation is saved and tracked.
  • Audit gift records to proactively improve data quality; partner with the Data Integrity team to ensure efficient data entry through receipt generation workflows.
  • Communicate with campus partners (Cash Management, General Accounting, Office of Sponsored Program Accounting, Donor Relations, Gift Planning, Major Gifts, Annual Giving, etc.) on fiscal issues and data needs.
  • Demonstrate proactive problem-solving and critical thinking to anticipate issues, improve efficiency, and uphold data quality as a personal responsibility.

What We're Looking For

  • Experience in data integrity, gift processing, donor data management, and CRM systems.
  • Knowledge of Gift Acceptance Policy, FASB accounting standards, CASE fundraising standards, and IRS standards for gifts and gift receipting.
  • Ability to mentor, train, and supervise two to three Data Integrity Analysts; strong communication and training skills for diverse audiences.
  • Strong cross-functional collaboration skills and ability to work with multiple campus partners.
  • Detail-oriented with a proactive approach to data quality and process improvement.
