About the Role The Assistant to the Chief Marketing Officer (CMO) serves as a critical operational partner, blending executive support with marketing operations to help the CMO lead a large, dynamic organization. This role requires proactivity, strong organization, and a genuine interest in sports, entertainment, and marketing.
What You'll Do
- Executive & Calendar Support – Manage the CMO’s complex calendar, schedule internal and external meetings, resolve conflicts, and prepare materials with context.
- Travel Coordination – Arrange all domestic and international travel, hotel accommodations, ground transportation, and itinerary management; anticipate logistical needs and adapt to changes.
- Expense Management – Process and reconcile expense reports accurately and on time; maintain organized records and ensure policy compliance.
- Meeting Coordination & Facilitation – Lead end-to-end coordination for leadership meetings and cross-functional sessions; prepare agendas, capture notes, and track action items.
- Marketing Operations & Output Coordination – Serve as a central point for marketing deliverables; track projects, campaigns, and initiatives; maintain calendars and schedules to ensure on-time delivery.
- Cross-Functional Communication & Stakeholder Liaison – Liaise between the CMO and internal teams, league partners, and external stakeholders; manage correspondence and triage requests.
- Project & Deadline Tracking – Support enterprise marketing timelines and deliverables; flag risks and maintain visibility across workstreams.
- Special Projects & Ad Hoc Support – Take on research, presentation prep, and other ad hoc projects with initiative and a solutions-first mindset.
What We're Looking For
- 5+ years in an executive assistant, administrative, or operations role supporting senior leadership in a large, matrixed organization.
- Demonstrated ability to manage complex calendars, travel logistics, and expense reconciliation with accuracy and discretion.
- Experience coordinating cross-functional meetings and managing follow-through across multiple stakeholders.
- Familiarity with marketing operations, project tracking, or campaign workflow management in a corporate setting.
- Preferred: prior experience supporting a C-suite executive in sports, media, or entertainment; exposure to marketing project management tools; interest in hockey and professional sports.
- Education: Bachelor’s degree or equivalent professional experience required.
- Required Skills: strong Microsoft Office skills (PowerPoint), highly developed verbal and written communication, and exceptional organization with attention to detail and follow-through.
