Assistant Property Manager

We are looking for an Assistant Property Manager to support daily property operations and help maintain a safe, organized, and resident-focused community in Oakland, California. This is a Contract position suited for someone who can balance administrative oversight, financial coordination, and resident relations while working closely with site staff and leadership. The ideal candidate will contribute to smooth property performance, regulatory compliance, and high service standards across leasing, maintenance coordination, and occupancy activities.

Responsibilities

  • Oversee routine operations for the assigned community, ensuring residents, staff, and visitors experience a well-maintained and professionally managed environment.

  • Guide onsite team activities by helping assign priorities, supporting staff development, monitoring performance, and maintaining consistent daily workflows.

  • Coordinate with maintenance personnel and external vendors to schedule repairs, track preventive service tasks, and confirm timely completion of property needs.

  • Maintain housing waitlists, resident records, move-in documentation, and recertification files in accordance with applicable housing regulations and fair housing standards.

  • Support financial administration by tracking property records, assisting with budget planning, monitoring expenses, and helping keep operations aligned with approved spending targets.

  • Manage rent-related processes, including collection oversight, deposit coordination, and follow-up on outstanding balances in partnership with management leadership.

  • Prepare the site for audits and inspections by organizing required documents, reviewing compliance materials, and ensuring records are readily available.

  • Assist with occupancy and leasing efforts by promoting available units in line with approved marketing practices and applicable federal, state, and local requirements.

  • Conduct periodic unit reviews, initiate follow-up actions such as work orders or resident notices, and document findings to support property standards.

  • High school diploma or equivalent required.

  • At least 1 year of supervisory experience in a property, housing, or related operational setting.

  • Background in property management is preferred; a real estate license or property management certification is a plus.

  • Familiarity with affordable housing programs such as Section 8, tax credit housing, or related compliance frameworks is preferred.

  • Proficiency with Microsoft Office 365 and the ability to learn new business and property management systems quickly.

  • Working knowledge of financial and administrative processes, including budgeting, accounts payable, accounts receivable, billing, and recordkeeping.

  • Experience using business software such as CRM platforms, accounting systems, or enterprise management tools is advantageous.

  • Strong organization, attention to detail, and time management skills with the ability to handle multiple deadlines effectively.
