Job title: Assistant Project Manager

About the Role The Assistant Project Manager will independently complete work order assessments, manage small capital projects up to $1M, and may support Senior Project Managers for larger projects. The role involves coordinating with clients, consultants, and contractors to ensure projects meet financial and schedule targets, and participating in all phases of the capital project process with a focus on Pre-Construction and Construction Project Administration and Logistics. The APM will lead small capital projects or components of larger projects, ensuring cost, schedule, document control and quality standards are met to deliver high-quality service to clients.

What You'll Do

  • Independently complete work order assessments and manage small capital projects up to $1M.
  • Provide support to Senior Project Managers and/or Project Managers on larger projects.
  • Interact with clients, consultants and contractors to meet financial and schedule targets.
  • Lead on small capital projects or components of larger projects; coordinate all construction phases to ensure cost, schedule, and quality standards.
  • Manage all phases of construction, document control, and client satisfaction.
  • Initial phase of estimating support; review approved drawings and develop requisitions for material purchases.
  • Prepare start-up and close-out checklists; prepare project budgets and timelines.
  • Produce a project timeline with start date, communicate with subcontractors and customers to track progress, and process and track RFIs and submittals.
  • Process change orders and purchase requests; work with purchasing and procurement for material ordering.
  • Solicit, evaluate, and select architects, contractors, and other consultants/vendors; issue contracts and purchase orders.
  • Verify materials are procured and the scope of work is developed before production.
  • Track and submit RFIs and change orders; monitor cost exposure and cash flow; maintain comprehensive budgets and schedules; manage day-to-day activities.
  • Review pay applications and invoices; assist in prompt processing of invoices and payments.
  • For projects greater than $5M, perform additional duties under the direction of a Senior Project Manager/Project Manager, including:
  • Attend and contribute to project meetings; take and distribute meeting minutes.
  • Prepare RFP/bid packages; support bid processes; process submittals, RFIs, shop drawings, change proposals, and change orders.
  • Prepare daily, weekly, and monthly reports detailing project status.
  • Ensure agreements, insurance certificates, bonds, and other documents are executed accurately.
  • Review change proposals before approval; develop estimates and budgets; produce monthly job status reports.
  • Participate in project risk analysis and development of project budgets.

What We're Looking For

  • Experience coordinating capital projects, with a focus on projects up to $1M, and ability to lead on small capital initiatives.
  • Strong collaboration skills with clients, consultants, and contractors to meet cost, schedule, and quality targets.
  • Proficiency in cost tracking, RFIs/submittals, change orders, and procurement processes.
  • Ability to prepare budgets, cost exposure reports, cash flow projections, and maintain schedules.
  • Experience reviewing pay applications and invoices and coordinating prompt payments.
  • For projects greater than $5M, demonstrated ability to work under the direction of a Senior Project Manager/Project Manager and participate in multiple project meetings.
