  • POSITION OVERVIEW

  • Reporting to the Director of Admission, the Assistant Director of Admission is a key member of the Admission team and Enrollment division. This role will contribute substantially to the achievement of enrollment goals and the strong overall reputation of the university in the community, state and nation. This role will be responsible for ensuring that Southwestern’s Campus Visit Experiences are second to none. Reporting to the Director of Admission, the Assistant Director will lead operational execution, follow-through with strategy, leveraging of assessment data, and continuous improvement of Southwestern’s campus visit programs for prospective students and their families. This is a high impact opportunity. The position oversees daily campus tours, large-scale open houses, admitted student days, specialized group visits, and virtual event-initiatives, and will substantially contribute leadership to student enrollment events hosted in Southwestern’s major markets. The Assistant Director directly manages student tour guides (Ambassadors) and Welcome Center staff, creating a welcoming, high-touch, and persuasive introduction to the university’s community and academic programs.

DUTIES

  • Strategic Leadership & Event Management

  • Plan, execute, and evaluate high-volume daily campus tour operations, information sessions, and signature enrollment events (e.g., Open Houses, Admitted Student Days, VIP visits).

  • Engage campus in offering high impact experiences by collaborating with academic departments, student affairs, athletics, and facility management to ensure excellent event delivery and broad campus support and participation.

  • Innovate and expand virtual visit experiences, interactive webinars, and digital engagement options for prospective families unable to travel.

  • Increase the annual number of campus visitors.

  • Monitor guest feedback, report to leadership analytics, and leverage CRM data to continually assess and improve visit effectiveness. Use data to lean into strengths and improve weaknesses such that customer service ratings are high and evidence shows students and families are more likely to enroll after visiting.

  • Student Leadership & Team Supervision

  • Recruit, hire, train, schedule, and evaluate a team of 30–50 student tour guides/ambassadors and student front-desk staff.

  • Design and implement comprehensive training curricula covering institution facts, storytelling techniques, customer service excellence, and inclusive communication.

  • Conduct regular performance reviews and tour evaluations to maintain high presentation standards and authentic campus storytelling.

  • Manage student payroll, scheduling software, and budget allocations for student staffing.

  • Visitor Center Operations & Customer Experience

  • Oversee the daily operations and aesthetic environment of the Welcome Center/Visitor Center. Provide useful suggestions for continuous improvement of the physical spaces that are key to an outstanding campus visit experience.

  • Ensure a welcoming, accessible, and inclusive environment for visitors of all backgrounds and abilities.

  • Manage visit registration software and CRM workflows (e.g., Slate) to handle reservations, check-ins, confirmation communications, and follow-up surveys.

  • Respond to complex visitor inquiries and resolve escalated customer service issues promptly and professionally.

  • Enrollment Strategy & General Admissions

  • Serve as an active member of the admissions staff, participating in application review, prospective student counseling, and recruitment travel as needed.

  • Present formal admissions information sessions to large groups of prospective students and families.

  • Stay informed on higher education trends in campus visit management and student recruitment.

QUALIFICATIONS

  • Bachelor’s degree.
  • A minimum of 3 years of supervision and event planning experience in an undergraduate admission office.
  • Availability and willingness to consistently maintain a regular work schedule. Also, enthusiastically and frequently work evenings, partial weekends, and campus visit programs, as needed.
  • Demonstrated ability to self-manage time, activity, and spending, staying focused on goal achievement.
  • Self-starter, who is calm under pressure, is flexible, meets deadlines, works without direct supervision, is able to multitask, problem-solve, and relate to a variety of personalities under diverse circumstances.
  • Outstanding presentation, communication, and interaction skills (verbal and written).
  • Excellent organization, decision-making, and problem-solving skills.
  • Excellent computer skills, including the use of software such as Microsoft Suite, Adobe products.
  • Demonstrated leadership skills, including a strong work ethic.
  • Willingness to adhere to the University’s core values, particularly making “contributions to the well-being of humanity”.
  • Have knowledge, understanding, and acceptance of cultural differences and the diversity within the campus and community.
  • Demonstrated professional manner with all internal and external University constituencies.
  • Proven ability to perform well in both confidential and stressful situations.
  • Understanding of and commitment to a liberal arts education, including the ability to relate to a liberal arts faculty.
  • Ability to maintain confidential information and files.
  • A team player.

Preferred Qualifications:

  • Previous experience working in the admission field and enrollment event planning.

  • A strong preference for English and Spanish/bilingual fluency (verbal and written).

  • Experience with Slate, CRM.

  • Extensive knowledge of the University and the programs offered.

  • Experience working with students from culturally diverse backgrounds.

  • Work/leadership experience in higher education.

  • Event planning in a professional capacity.

  • ADDITIONAL INFORMATION

  • Starting annual salary: $56,341. The final offer for the successful candidate will be commensurate with experience and may exceed the starting annual salary.
