About the Role Ambulatory Practice Coordinator 3 represents the administrative team as the public face of the Practice and collaborates with administrative, clinical and management teams to support efficient practice operations and customer service recovery.

What You'll Do

  • Represent the administrative team as the public face of the Practice and collaborate with administrative, clinical, and management teams to support operations and customer service recovery/intervention efforts.
  • Provide support to all administrative functions including CRM messages, telephone encounters, referrals, APeX in-baskets, scanning, filing, authorizations, and billing.
  • Maintain routine clerical operations and communications; adhere to UCSF House and Telephone Standards; be a flexible team player and self-reliant.
  • Facilitate accurate flow of information between medical/hospital staff and departments to maximize unit efficiency; willingness to work at any UCSF campus as needed.
  • Demonstrate excellent customer service and the ability to adapt to changing priorities in a fast-paced outpatient setting.

What We're Looking For

  • High School graduate or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience
  • Successfully passes fingerprinting protocol and is approved to be a cash collector if applicable
  • Strong computer skills, including basic keyboarding, and experience with at least two Office-type software programs (Outlook, Word, Excel); proven ability to navigate multiple patient records systems; ability to sit at a computer terminal with telephone headphones for extended periods
  • Ability to analyze situations, prioritize, develop solutions, and make recommendations; able to work with minimal supervision and independently, at times under deadlines
  • Excellent customer service and communication/interpersonal skills, both over the telephone and in person; basic math skills; ability to deal with a wide variety of individuals; sensitivity to patients
  • Excellent organizational and problem-solving skills; strong writing skills; demonstrated administrative/office coordination skills; knowledge of medical practice terminology
  • Within six months of start date, supervisor completes the proficiency checklist with the employee covering areas such as referrals, scheduling surgeries, work queues, outside test results, CRM messaging, patient scheduling, MyChart routing, letters, scanning, and more

Nice to Have

  • Demonstrated experience in health care (patient scheduling, insurance verification, medical record data abstraction, or patient financial services)
  • Prior experience with appointment, ancillary service or surgical scheduling or a combination
  • Bi-lingual or multi-lingual capability (Spanish, Cantonese, and Russian) strongly preferred
  • Prior experience with EPIC
