About this role

AI Automation Specialist (Business Process)

Our client, Datapath, is looking for an AI Automation Specialist who understands how a business actually runs (where the hours disappear in an inbox, a sales pipeline, a calendar, a follow-up queue) and can turn that into working AI agents. You’ll use the current generation of agent platforms, including Dot, Grokbot, Claude Duet, Claude Managed Agents, Hermes 2.0, and ChatGPT’s computer-use / activity-history feature, to deliver quick-win automations for our own team and for our clients: managing email, booking appointments, responding to leads, chasing follow-ups, and cutting repetitive admin.

This is a business-first role. Your value is knowing which process to automate, setting up the right agent to do it, proving the time it saves, and keeping it running. You’ll work alongside Datapath’s AI engineering team, who own custom code, infrastructure, and deep integrations. You will not be expected to build software from scratch. This is not a software engineering, full-stack, or ML/model-building role.

Schedule: Remote, Full Time | Monday - Friday, 8:00 AM - 5:00 PM PST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Find the work worth automating. Sit with team members and clients, map how workflows function today (email, sales, scheduling, intake, reporting), and spot where an agent can take over repetitive steps.
  • Turn observation into a plan. Use observer and activity-history tools (including ChatGPT’s activity-history feature) to surface patterns, then turn them into a prioritized list of automation opportunities ranked by hours saved and business impact.
  • Build and configure agents on platforms like Dot, Grokbot, Claude Duet, Claude Managed Agents, and ChatGPT computer-use: write their instructions, connect them to email, calendar, CRM, and ticketing, and add approval steps wherever a human should sign off.
  • Deliver quick wins: inbox triage and reply drafting, appointment booking, lead response and qualification, sales follow-up sequences, meeting prep and recaps, and similar admin automations.
  • Measure results. Track time saved, response times, conversion, and error rates for each agent, and report outcomes in plain business terms.
  • Own agents after launch. Monitor output quality, fix issues when agents drift, tune their instructions, and keep usage costs in check.
  • Drive adoption. Write simple guides, run short walkthroughs, and make sure the people an automation is built for actually use it.
  • Evaluate new platforms as they appear and recommend which are worth adopting, based on business fit, cost, and security.
  • Partner with the AI engineering team when a request needs custom code, a new integration, or infrastructure. Define the business need, shape the requirements together, and stay involved through testing and rollout.
  • Follow the review process. Route every new tool, platform, or vendor through Datapath’s Security and AI Division review before it touches client or regulated data.

Requirements

  • A track record of automating real business processes (sales, operations, customer service, or admin) with measurable results. Be ready to share examples: what you automated, for whom, and what it saved.
  • Hands-on experience setting up AI agents or assistants on commercial platforms (e.g., OpenAI, Anthropic, xAI/Grok), plus workflow tools such as n8n, Zapier, Make, Power Automate, or RPA tools.
  • Strong business sense: you understand how sales pipelines, client service, and back-office operations work, and you can talk ROI with a business owner.
  • Comfort being client-facing: running discovery calls, asking good questions, and explaining clearly what an agent will and won't do.
  • Clear writing for non-technical audiences: process maps, how-to guides, and short recommendations.
  • Good judgment about data and access: knowing what an agent should and shouldn't see, keeping credentials out of shared documents, and adding human approval where mistakes are costly.
  • Technical comfort with APIs, webhooks, and light scripting (JavaScript or Python) is a plus, but deep software engineering is not required.
  • Self-directed and comfortable working remotely with US-based stakeholders during overlapping hours.

Qualifications

  • Background in sales ops, RevOps, marketing ops, executive assistance, or operations, especially in an IT services or MSP environment.

  • Experience with CRMs (HubSpot, Salesforce) and PSA/ticketing tools such as ConnectWise.

  • Experience running agents in secured, sandboxed environments (for example Docker and cloud-hosted deployments) with separate dev, test, and production environments and proper secrets management.

  • Familiarity with Model Context Protocol (MCP) connectors.

  • Familiarity with AI governance concepts (data classification, vendor risk review).

  • How to Stand Out: In your application, walk us through one process you automated: what it looked like before, what you set up, and what changed (hours saved, faster response times, more booked meetings). We care more about that story than about your tech stack.

  • A Note on Tools & Compliance: Datapath maintains an approved-tools registry for AI platforms and vendors. Grokbot, Hermes 2.0, and ChatGPT’s computer-use feature are not yet on that registry, so early work with them will run as an AI Division–directed evaluation. Broader production rollout will go through Security and AI Division review before any client or regulated data touches these tools. This person will work closely with that review process.
