Job title: AFM Coordinator

About the Role The AFM Coordinator provides accurate administrative support to the Maintenance Manager in the Aftermarket department. This role analyzes and supervises administrative policies, ensures timely completion of financial administrative tasks, and drives efficiency across WIP, debtors, creditors, labour recovery, data integrity, and warranty claims in line with CFAO’s objectives.

What You'll Do

  • Monitor Work In Progress (WIP) and manage the process of closing jobs to keep WIP within defined parameters; resolve issues; ensure data accuracy in WIP and WIP invoicing.
  • Serve as the primary contact for the debtors department; receive and distribute queries to foremen/product support engineers and provide feedback to Debtors and Aftermarket Managers.
  • Assist Aftermarket Managers to manage creditors: check reconciliations for outstanding invoices, follow up, process payments; clear the "purchase awaiting invoices" report.
  • Monitor labour recovery; ensure data is captured daily by controllers for accurate information.
  • Analyze and identify loss-making Aftermarket contracts; escalate to Aftermarket Manager for analysis; ensure machines overtime hours are invoiced.
  • Ensure warranty claims process is accurate and submitted timely; track recovery and drive Product Support Engineers on this matter.
  • Prepare and distribute scheduled (monthly, weekly, daily) and ad-hoc reports; liaise with IT for assistance; coordinate field campaigns; collate feedback and submit reports to Aftermarket Managers / Head Office.
  • Advise CSI department on a monthly basis of customer contact schedule for CSI follow-up.
  • Facilitate customer complaints and queries; maintain dedication to service excellence; ensure timely feedback to customers.
  • Ensure Aftermarket department admin personnel functions as an efficient resource; support Investors in People in line with company objectives; ensure effective inter-departmental communication.

What We're Looking For

  • Strong administrative background with ability to implement policies and ensure tasks are completed accurately and timely in line with company and system requirements.
  • Experience preparing and distributing regular reports (weekly, monthly, daily) and ad-hoc data for department managers and head office; ability to liaise with IT.
  • Ability to coordinate product field campaigns; prepare data on machines to touch; collate feedback and submit reports to Aftermarket Managers / Head Office.
  • Customer service orientation with ability to foster timely feedback/communication to customers.
  • Familiarity with WIP, debtors, creditors, labour recovery and warranty claims processes.

Nice to Have

  • Experience supporting Investors in People initiatives and improving inter-departmental communication.
