About the Role The AFM Administrator provides accurate and reliable administrative support to the Maintenance Managers within the Aftermarket department. The role focuses on controlling and improving administrative processes related to WIP, debtors, creditors, labor recovery, and warranty claims to ensure timely and compliant operations in line with company objectives.
What You'll Do
- Oversee and perform administrative tasks related to financial aspects of the Aftermarket department's operations, ensuring accuracy and timely processing.
- Monitor Work In Progress (WIP), manage job closures, investigate aged jobs, and improve WIP processes.
- Act as the primary contact for debtors; distribute queries to foremen/product support engineers, provide feedback, and support debtor-related actions.
- Assist Aftermarket Managers with creditor reconciliations, invoice processing, and payment preparation; monitor outstanding invoices.
- Track labour recovery per technician; ensure daily data capture by controllers for accurate reporting.
- Identify and escalate loss-making Aftermarket contracts and ensure proper billing for overtime hours.
- Ensure timely submission of warranty claims and track recovery with product support engineers.
- Prepare and load new contracts; assist with commissions, incentive calculations, and overtime/standby documentation.
- Coordinate with CSI for customer contact scheduling; facilitate complaints and maintain service excellence; provide timely customer feedback.
- Support Aftermarket admin staff to maintain quality, effective communication, and alignment with Investors in People.
What We're Looking For
- Strong administrative experience in automotive aftermarket or similar environment.
- Proficient in financial administrative tasks: WIP, debtors, creditors, invoicing, and reporting.
- Ability to analyze data for accuracy and identify issues; strong attention to detail.
- Experience coordinating with product support engineers and field staff; strong communication.
- Proficient in creating ad-hoc reports; liaison with IT for data extraction.
- Ability to manage multiple tasks and meet deadlines; support managers.
- Customer service mindset; proactive problem solving.
Nice to Have
- Experience in CSI or process improvement; Investors in People implementation; knowledge of warranty processes.
- Experience with ERP systems and familiarity with FMA commissions and marketing campaign data.
