The Department of Radiology is currently seeking an administrative specialist to join its Faculty Affairs (FA) Team. The FA Team handles many important processes for the Department of Radiology including all life cycles of our faculty members, such as faculty appointments and credentialing, CV review, promotions, advanced learner appointments, postdoctoral fellows, and much more.

Job Summary

The Department of Radiology is currently seeking an administrative specialist to join its Faculty Affairs (FA) Team. The FA Team handles many important processes for the Department of Radiology including all life cycles of our faculty members, such as faculty appointments and credentialing, CV review, promotions, advanced learner appointments, postdoctoral fellows, and much more.

Responsibilities

Basic Function and Responsibility:

  • 75% The successful candidate will participate in several human resource activities related to faculty (all tracks), advanced learners, post-doctoral fellows, graduate student research assistants, as well as privileging requirements (including nursing staff) in the Department of Radiology. In this role, you will assist faculty/fellows through the process of recruitment, hiring, hospital credentialing, and provider enrollment for new appointments. Additionally, you may be involved in several aspects of the appointment maintenance, promotion process, effort changes, and termination/retirement process for all ranks and tracks.

  • You will also work closely with faculty members, division directors, administrators, the Vice Chair for Academic Affairs, and the Chair for the Department of Radiology, in addition to the Medical School Leadership and Radiology Faculty Affairs team. We will plan for and accomplish these tasks in accordance with departmental, medical school, and university guidelines.

  • Pay excellent attention to detail with ability to maintain strict confidentiality.

  • Set up an organization system that allows you to keep track of many moving pieces.

  • Prioritize and re-prioritize in order to meet deadlines.

  • Utilize a collaborative approach to your work with the departmental faculty affairs team, faculty members, division chiefs, division administrators, and the medical staff services office.

  • Self-direct your work and follow up on outstanding issues in a timely manner.

  • Write letters and other communications on behalf of chair, division chiefs and the administration.

  • 15% Additionally faculty appointment processes include professorship renewals, adjunct and emeritus ranks, secondary appointments, sabbaticals, and other leaves of absence. As well as assisting with visiting observers (covered, research scholars, non-clinical).

  • 5% There will be interaction with our Immigration Compliance Unit to adhere to all immigration guidelines and VISA requirements.

  • 5% Licensing, certification maintenance and employment/training verifications will be performed on a regular basis.

  • A bachelor's degree or an equivalent combination of education and experience is necessary.

You will need knowledge of word processing, spreadsheet and database software. We need someone who has the proven ability to:

  • Desired Qualifications

  • We are hoping to attract someone with past experience assisting in faculty affairs and who also has a reasonable knowledge of university policies, rules and regulations regarding faculty members.

  • We would welcome someone who has experience in the University computer systems and applications (specifically Wolverine Access/MPathways, Elements, Cornerstone).
