About the Role Under close supervision, the Administrative Specialist I provides administrative support to staff, faculty member(s), or department(s) in clinical, academic, research and leadership roles in support of the Dana-Farber Cancer Institute's mission. The role requires strong communication, professionalism, and the ability to manage diverse administrative tasks in a hybrid work environment. This position will start in October 2026. What You'll Do
- Provide administrative support for the department, clinicians, and/or faculty.
- Perform administrative duties including answering phones, maintaining office supplies, mail management, managing resource calendars, and submitting work orders for maintenance issues.
- Manage meeting planning and schedules for individuals and teams within the department.
- Liaise between patients and clinical staff to provide scheduling support.
- Draft communications for department members or supported individuals; prepare Excel spreadsheets and presentations as needed.
- May be responsible for data entry and for email/phone communication with internal and external teams or collaborators.
- May serve as onsite representative for external groups, visitors, or collaborators.
- Prepare general correspondence, letters of recommendation, and assist with budgeting tasks such as P-Card charges, expense reports, vendor payments, and invoice creation; order general office supplies.
- Coordinate travel arrangements as required by department staff.
- Maintain high level of professionalism, discretion, and confidentiality regarding sensitive topics.
- Other duties as assigned. What We're Looking For
- High school diploma required; Bachelor’s degree preferred; 1 year of relevant experience.
- Excellent written and verbal communication skills; ability to interact professionally with peers, leadership, and external contacts.
- Basic knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, and Adobe.
- Exceptional customer service skills; ability to identify and resolve problems, maintain confidentiality, and pay attention to detail.
- Strong organization, multi-tasking, prioritization, and follow-through.
- Ability to work under supervision and collaborate across cross-organizational teams. Nice to Have

- Salary range: USD 50,070.00 – 60,730.00 per year. Hybrid work arrangement: 2-3 days onsite per week.
