About the Role

The Administrative Lab Services Coordinator Lead supports the Lab Services team by overseeing departmental administrative tasks, reviewing complex patient appointment sets and associated lab work. Working onsite at Dana-Farber, the role acts as a patient experience ambassador, manages check-in processes, and facilitates imaging uploads into Epic. This fast-paced position emphasizes exceptional customer service, PHI confidentiality, and cross-functional collaboration. What You'll Do

  • Verify complex oncology appointment sets across disciplines per scheduling guidelines; acquire, enter and link verbal lab orders from Providers; maintain confidentiality of PHI; perform past-pending reconciliations; provide superior customer service; front desk check-in tasks including verifying patient identification, printing wristbands, assigning RTLS badges and screening questions; print and review appointment schedules; notify nursing and lab staff of issues as needed; answer telephone and provide general information; review missing labs and reconcile orders with Providers to prevent delays; arrange for patient escorts or wheelchairs as needed.

  • Imaging Services: create orders and import outside images from digital media into Epic; operate PACS and related software to import images; troubleshoot image transfer and coordinate with Imaging to resolve issues; manage CDs from intake to upload.

  • Patient Experience: deliver outstanding customer service and respond to internal and external needs in a timely, professional manner; deescalate grievances and maintain service standards; escalate to leadership as necessary.

  • Communication & Collaboration: communicate effectively across leadership and with diverse audiences; synthesize complex information into patient-friendly terms; work well within a team and across functions; foster shared responsibility. What We're Looking For

  • Healthcare administrative or clerical experience preferred; strong customer service orientation.

  • Ability to manage high patient volume and complex workflows; attention to PHI confidentiality.

  • Experience with Epic and PACS or imaging workflows; proficiency with basic imaging processes.

  • Excellent communication skills, problem-solving abilities, and teamwork mindset; capable of multi-tasking in a fast-paced environment. Compensation & Benefits

  • Salary: $57,500 - $65,000 per year. Schedule: Monday - Friday 8:30AM - 5:00PM. Location: Onsite at Dana-Farber, Boston, MA.
