About the Role Youngstown State University seeks an Administrative Coordinator to provide support to administrators and divisional leadership within University Affairs. This role oversees budget and office operations, policy development, project coordination, and staff training to ensure efficient, compliant operations across the division.
What You'll Do
- Coordinate and perform a variety of fiscal and business activities; maintain ledgers; address billing/payments discrepancies; oversee collections; maintain cash operations.
- Develop or participate in policies and procedures; review and improve operations, systems, services, and procedures; prepare updates.
- Prepare statistical reports, charts, and presentations; engage stakeholders to identify improvements and provide change management recommendations.
- Identify operational issues, track and resolve them; liaise with business units to communicate current functions and implement new processes.
- Assist in operational planning; represent unit on inter-divisional task forces or committees; collaborate to achieve initiatives; manage assigned projects to completion.
- Make independent scheduling decisions; create schedules, agendas, and itineraries; provide staff training or cross-training.
- Assist in developing filing systems and ensuring compliance; coordinate data storage and retrieval; conduct data audits.
- Lead lower-level personnel; facilitate office automation; respond to correspondence; gather data for budget inclusion; monitor spending and maintain fiscal records; transfer funds as needed; review and summarize reports; participate in hiring and committee work.
- Manage the office's business functions; monitor and transfer budgets under guidance; process invoices; procure supplies/equipment; maintain fiscal and personnel records; supervise student office staff; produce typed copy and reports; handle routine clerical tasks.
- Perform public relations duties; respond to inquiries and provide program information; assist with events, projects, and document dissemination.
- Provide secretarial support including drafting correspondence, compiling data, and coordinating workflow; supervise student staff; proofread and format documents; maintain office procedures and manuals.
- Perform other clerical duties as needed to support operations and referral of non-policy interpretation matters.
