About the Role
Northern Ohio Recovery Association (NORA) is seeking an Administrative Coordinator to serve as a central coordination point between executive leadership, intake services, and front desk operations. The role ensures smooth communication, efficient intake flow, and professional front office support, while assisting C-suite with scheduling and administrative priorities. The position models professionalism and recovery-oriented principles in all interactions.
What You'll Do
- Provide direct administrative support to C-suite leadership, including calendar management, meeting coordination, and follow-up tracking.
- Prepare meeting materials, agendas, and assist with internal communications.
- Coordinate cross-department communication to align priorities and initiatives.
- Track action items and support leadership in maintaining accountability across teams.
- Support and coordinate intake processes, ensuring timely response to inquiries and referrals.
- Serve as liaison between intake staff, program teams, and leadership.
- Track intake flow, pending admissions, and follow-ups to prevent gaps in service access.
- Maintain organized intake documentation and communication logs.
- Provide front desk support as needed: greet clients, visitors, and partners; answer and route calls; manage voicemail and inquiries.
- Ensure a professional, welcoming front office environment; maintain confidentiality.
- Coordinate schedules, meetings, and program-related activities; assist with internal communications to improve efficiency.
- Maintain organization and readiness of front office and shared spaces; coordinate mail, deliveries, and basic office logistics; monitor and maintain office supplies.
- Serve as central point of communication between departments; ensure timely information flow.
- Support organizational policies and procedures; perform other duties as assigned.
What We're Looking For
- Associate’s or Bachelor’s degree in Business Administration or related field preferred.
- Minimum 2–4 years of administrative, intake coordination, or front office experience.
- Experience supporting leadership and/or multi-department coordination preferred.
- Strong organizational and time management skills; excellent verbal and written communication.
- High attention to detail and ability to manage multiple priorities.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Ability to work independently and collaboratively in a fast-paced environment.

- Experience in behavioral health, healthcare, or human services settings.
- Experience coordinating intake, admissions, or client-facing workflows.

Compensation & Benefits
- Salary: $38,000-$50,000 per year.
