Position Summary
The Administrative Clerk provides operational and administrative support for the Columbia Community Partnership for Health (CCPH), a community-based facility that supports health research, health education, and community engagement activities. The incumbent coordinates facility scheduling and reservations, helps maintain daily facility operations, serves as a primary point of contact for visitors and facility users, and provides general administrative support for CCPH programs and activities.
This position is primarily in-person at 390 Fort Washington Avenue and may require occasional evening and weekend hours to support facility operations and community-facing activities.
Responsibilities
Facility Operations:
- Coordinate day-to-day facility operations to ensure a safe, efficient, and welcoming environment.
- Manage room reservations, scheduling, setup/reset, audiovisual coordination, and supply inventory.
- Maintain and communicate facility policies, procedures, services, and usage information.
- Oversee procurement and coordinate with facilities management on maintenance, repairs, and janitorial services.
- Serve as the primary contact for visitor management and reception operations.
Tracking and reporting:
- Maintain facility calendars, records, usage statistics, and operational documentation.
Communication and liaison:
- Support CCPH promotion efforts (website, newsletter, list-serv, etc.) to increase utilization across users - CUIMC staff, community partners, program participants, and visitors.
- Serve as a primary point of contact for CUIMC researchers and staff, community partners, program participants, and visitors.
- Support basic health screenings and informational referrals.
- Performs other related duties as assigned.
Minimum Qualifications
- Requires two (2) years of college or completion of secretarial school or equivalent business experience, plus a minimum of two to three years (2-3) related experience.
- Required: Professional fluency in spoken and written English and Spanish.
- Ability to communicate clearly and effectively with diverse community members, researchers, staff, and external stakeholders in both languages.
Preferred Qualifications
- Experience supporting community-based programs, research activities, or event operations.
- Experience working with community organizations and diverse populations.
- Familiarity with audiovisual and meeting room technology.
- Experience with Microsoft Office Suite (Outlook, Sharepoint, OneDrive, Excel, Power Point), Canva, Survey Monkey/Qualtrics.
