About the Role The position provides high-level administrative support within an academic or business unit at Youngstown State University. It requires autonomous handling of non-routine tasks, interpretation of policies, budgeting assistance, and supervision of student staff, to ensure efficient operations and effective program delivery.
What You'll Do
- Autonomously perform non-routine administrative tasks, including formulating judgments on policy interpretation, preparing correspondence and reports, resolving problems, and carrying out assignments.
- Facilitate office functions and office automation; respond to correspondence; research data for budget inclusion and assist in writing budget justification; monitor spending, maintain fiscal records, and perform budget transfers as needed; review and summarize fiscal, operational, and personnel reports; participate on committees; organize conferences; act as a lead worker for lower-level staff.
- Process academic overrides with direction; compile and process new hire paperwork and employee records for part-time faculty and other employment groups; perform personnel functions such as screening applicants and participating in interviews when needed.
- Relieve supervisor of routine duties; provide technical information and advice to aid decision making; assist in developing new procedures related to program policy; serve as liaison between administrator and subordinates; transmit decisions and directives; represent administrator at meetings and conferences; manage office budgets and procurement (bills/invoices, purchases, and reconciliations); maintain fiscal and personnel records; perform public relations duties and respond to inquiries.
- Provide secretarial assistance with routine tasks; prepare simple correspondence, research responses to inquiries, gather data, prepare reports, and compile statistics; set up office procedures and coordinate daily workflow; supervise student office support staff during employment.
- Produce typed copy and formatting from standard or confidential sources; proofread material; maintain files and mail; answer phones and greet visitors; schedule meetings and travel arrangements; maintain calendars; requisition equipment and supplies as needed.
