About the Role The Administrative Assistant serves as the primary in-person contact for the Success Through Well-Being suite, providing administrative and office support to the unit within Columbia University Athletics. This role supports the daily operations and coordination of programs and services aimed at student-athlete well-being. What You'll Do

  • Coordinate daily office operations for the Success Through Well-Being suite, including greeting visitors, managing spaces, calendaring, meetings, agendas, and preparing communications and templates. Maintain and update databases and records (e.g., Lions Cup, career development activity sheet, STWB weekly email).
  • Assist with the administrative coordination of casual workers and student-athlete tutoring program (recruitment, onboarding, scheduling, payroll reconciliation) and respond to related inquiries.
  • Handle financial administrative tasks (payments, invoices, reimbursements, deposits for Student-Athlete Assistance Fund, awards, programs/events) and assist with distribution and record-keeping of participation awards/gifts.
  • Support the Assistant Athletics Director for Success Through Well-Being with awards-related administration; provide coverage and other duties as required by senior staff.
  • Support other department initiatives as needed and contribute to a positive, organized office environment. What We're Looking For
  • High school diploma or equivalent; minimum of three years related experience.
  • Excellent organizational, interpersonal, oral and written communication skills, including active listening.
  • Ability to interact tactfully with a broad range of customers; strong attention to detail and ability to manage multiple tasks. Nice to Have
  • Ability to interact tactfully, confidently and courteously with a multitude of customers.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Experience in a fast-paced environment.
  • Ability to handle a variety of simultaneous activities, attention to detail, and follow-through.
  • Ability to learn, understand, and utilize various technological applications. Compensation & Benefits
  • Salary range: $60,874 - $63,310 per year.
  • Hours per week: 35; Standard Work Schedule: M-F 9am-5pm.
  • Regular staff position within the Union bargaining unit Local 2110.
