Job title: Administrative Assistant, School of Humanities and Leadership

About the Role The Administrative Assistant supports Wayland Baptist University's School of Humanities and Leadership at the Plainview Campus. This role maintains the school's academic documents and financial records, supports scheduling, events, and daily office operations, and serves as a courteous liaison with students, faculty, and visitors.

What You'll Do

  • Maintain the school's academic documents and financial records; process, develop, and update documents, reports, spreadsheets, and databases using various software and office equipment.
  • Process academic data; maintain office files (faculty documents, student records, advising materials); greet and interact with visitors and students; answer and maintain the department's phone lines.
  • Assist the dean and associate dean in preparing course and classroom schedules; organize special reports and projects; assist with events and coordination; support curriculum-related activities (textbook orders, photocopying, exam grading, online reporting, etc.).
  • Hire and supervise student employees and process their timesheets; oversee basic daily operations of the school office; create room calendars and oversee the computer lab as necessary.
  • Communicate with Information Technology, Maintenance, Business, and other offices for assistance or repairs; research institutional data, create reports and spreadsheets; prepare faculty overload and adjunct payment documents; coordinate with vendors on purchases and deliveries.
  • Coordinate planning, publicity, and execution of School of Humanities and Leadership events (meals or receptions, Haiku Contest, Language Festival, Film Festival, Symposium, summer camps, and more); assist with registrations and recruitment activities; update the school’s social media as needed.
  • Check in with the dean daily for updates and new or revised tasks; maintain confidentiality when handling sensitive material; perform other duties as assigned.

What We're Looking For

  • Some college education required; Bachelor's degree preferred.
  • Office or clerical experience preferred; experience maintaining financial records preferred.
  • Design skills for creating videos, posters, and social media posts preferred.
  • Ability to apply Christian principles in the workplace required.
  • Excellent verbal and written communication skills in English; some Spanish would be a plus.
  • Proficient computer skills (Word, Excel, email) and willingness to acquire additional computer/technological skills as necessary.
  • Excellent time-management skills and be self-motivated and detail-oriented; able to complete a variety of tasks simultaneously and work within a flexible framework.
  • Must be able to operate a licensed motor vehicle with a valid state driver’s license and maintain a satisfactory driving record.

Nice to Have

  • Some Spanish language ability (preferred)
  • Design skills for creating videos, posters, and social media posts (preferred)

Compensation & Benefits

  • Salary not specified in posting; hours: 37.75 per week; on-campus position.
