About the Role We are seeking an Administrative Assistant to support daily office operations in California. This contract role offers potential for permanent employment based on performance and future business needs, balancing accounting support, administrative coordination, and internal communication in an onsite environment. The role offers opportunities to contribute across finance-related tasks, office organization, and employee support while maintaining an efficient workplace. What You'll Do
- Manage routine accounts payable activities, including reviewing and coding invoices for processing and supporting timely payments.
- Prepare accounts receivable billing and assist with collection follow-up to help maintain accurate customer account records.
- Maintain organized files, records, and administrative documentation to support daily business operations.
- Provide administrative assistance for human resources activities, including general coordination and basic employee support tasks.
- Coordinate internal notices and workplace communications to ensure information is shared clearly and promptly.
- Organize logistics for company meetings, internal gatherings, and external events as needed.
- Track office equipment and support basic fixed asset recordkeeping for internally used items.
- Assist with administrative duties tied to company policies, compliance practices, and office procedures.
- Monitor office supply levels, place orders when needed, and maintain inventory for day-to-day workplace use. What We're Looking For
- Fluent English communication skills, with the ability to interact effectively with clients, customers, and internal teams.
- Experience supporting accounts payable and accounts receivable functions in an administrative or accounting support role.
- Familiarity with invoice coding, bank reconciliations, and QuickBooks or similar accounting software.
- Strong organizational skills with the ability to manage multiple tasks, adjust priorities, and meet deadlines.
- Sound judgment in handling sensitive and confidential information.
- Reliable interpersonal and business communication skills, including strong business etiquette.
- Ability to work fully onsite in Torrance, California - only candidates who currently reside in the Greater Los Angeles area will be considered.

- Salary: USD 24 - 30 per hour.
