Job title: Administrative Assistant, Nursing Program

About the Role The Administrative Assistant supports the Nursing Program under general supervision by coordinating administrative, academic, clinical, and programmatic needs, applying knowledge of unit policies and procedures.

What You'll Do

  • Receive guests; answer telephones, greet guests, receive and distribute mail, and arrange parking for guests.
  • Submit Department Work Orders and EMS reservations for room reservations; process reimbursements/check requests and invoices; coordinate, maintain, place, and track orders; interact with vendors; arrange hotel stays and honorariums for speakers.
  • Provide meeting support: arrange and book meeting rooms, send calendar invites, prepare agendas, take minutes, and arrange catering.
  • Order educational and program supplies and assist with printing needs; maintain department calendars and master program calendars.
  • Assist with exam database and exam scheduling/proctoring (HESI, ExamSoft, etc.); assist with student HESI assessment tracking and data input; maintain confidential documentation.
  • Uploading documents and compiling survey results.
  • Provide coordination and support for department special projects and events (i.e., student ceremonies, open house, orientations, etc.) including submitting supply and catering orders, event day support, and follow-up processes.
  • Assist with student and prospective student inquiries; provide recruitment and Clinical Services support as assigned; assist in lab activities; support as a user of other software for educational activities; perform other duties as assigned.

What We're Looking For

  • Education: Bachelor’s degree or two years of full-time experience in the same or similar position is equal to one (1) year of completed post high school education coursework.
  • Experience: Minimum of 2 years of increasingly responsible administrative support experience.
  • Preferred: Previous experience in an academic setting is highly desirable.
  • Knowledge/Skills: Office methods and procedures; intermediate level Microsoft Word, Excel, Access, PowerPoint, Adobe Photoshop, and e-mail systems.
  • Ability To: Manage time, organize duties/assignments, and set priorities to meet multiple deadlines; take initiative in organizing and maintaining departmental responsibilities, projects, and procedures; work productively under pressure with minimal supervision; demonstrate attention to detail, problem-solving, judgment, customer service, and follow-through; project a professional image; communicate effectively with administrators, faculty, staff, and students; work independently or as part of a team; resolve routine and complex problems with minimal consultation; demonstrate strong interpersonal skills and culturally responsive communication.
  • Other: Experience and sensitivity in working with people of diverse backgrounds and cultures; demonstrated experience in advancing social justice, equity, and inclusion in a university setting.

Nice to Have

  • Optional/preferred qualifications include experience in an academic setting and ability to engage and integrate culturally responsive practices in their work.

Compensation & Benefits

  • Hiring Range: $20.16 - $26.70 per hour. USD; full-time position.
