EdD program in Educational Leadership is seeking a part-time Administrative Assistant. This position is responsible for administrative support to the Associate Director of Doctoral Program Operations. The Administrative Assistant must be able to multi-task, organize, prioritize, schedule, and communicate clearly in a demanding, student-centric environment.

Duties/Responsibilities:

  • Scheduling
  • Coordinate calendars, appointments, meetings, and doctoral program activities for the Associate Director of Doctoral Program Operations.
  • Schedule appointments, faculty meetings, and program-related meetings, ensuring timely communication of logistics and changes.
  • Maintain accurate schedules, track deadlines, and proactively identify and resolve scheduling conflicts.
  • Communication
  • Serve as a professional and responsive point of contact for EdD students, faculty, staff, and university partners.
  • Draft and distribute routine communications, announcements, reminders, and program-related correspondence.
  • Respond to inquiries promptly and accurately, directing questions and issues to the appropriate faculty or administrator when needed.
  • Events
  • Assist with planning and coordinating EdD program events, including orientations, information sessions, workshops, and student celebrations.
  • Coordinate event logistics, including invitations, registrations, room reservations, materials, technology, catering, and day-of support.
  • Maintain event calendars and communicate schedules, expectations, and logistical details to students, faculty, speakers, and guests.
  • Administrative
  • Provide day-to-day administrative support to the Associate Director, including document preparation, data entry, record maintenance, and file organization.
  • Maintain accurate student and program records while ensuring confidentiality and compliance with university policies and procedures.
  • Assist with program operations, reports, forms, purchasing, and other administrative projects to support the effective delivery of the EdD program.

Required Skills/Abilities:

  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Attention to detail and accuracy
  • Ability to work independently

Qualifications

  • Education: High school degree required, four-year college degree preferred
  • Required Experience:
  • Minimum of one year of administrative, office, or program support experience; experience in higher education or a student-services environment preferred.
  • Demonstrated experience coordinating schedules, meetings, events, communications, and administrative processes.
  • Experience providing professional customer service and support to students, faculty, staff, or other constituents.
  • Experience maintaining accurate records, managing confidential information, and working effectively with multiple priorities and deadlines.
  • Preferred Experience:
  • Experience working in a higher education or graduate/doctoral program environment.
  • Familiarity with student information systems and learning management systems.
  • Knowledge of FERPA and other regulations governing the confidentiality of student records.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.

Salary

  • The hourly wage for this position is $22.40/hour

Hours Expectation: Part-time, 21 hours per week.

Work Location: Hybrid (Manhattanville Campus and remote)

Housing: Housing is not provided.
