Description

  • Under the general direction of the Assistant Director, Labour Relations, the incumbent is responsible for performing a wide range of day-to-day activities to support the smooth and efficient operation of the fast-paced Labour Relations Office, while providing a high level of executive secretarial and confidential administrative support.

  • The incumbent is responsible for proactively managing all aspects of the complex Executive Director and Director’s calendars in the most efficient and effective manner to ensure coordination of priorities.

  • The incumbent provides a broad range of administrative and operational support to the Labour Relations team, coordinating office activities and processes to ensure the efficient and effective operation of the Labour Relations office, including the day-to-day management of the office resources, facilities and logistics. The incumbent also supports grievance administration, scheduling, and office management.

  • The incumbent develops and maintains effective working relationships with union representatives, serving as the primary point of contact for scheduling, logistics, coordinating union release requests, and general inquiries. The incumbent facilitates timely communication and coordination, while referring complex issues to the appropriate Labour Relations staff for guidance and resolution. The incumbent demonstrates initiative and exercises good judgement in handling inquiries independently, where appropriate and referring appropriately.

  • The incumbent proactively identifies opportunities to streamline processes and tracking mechanisms and makes recommendations to the Assistant Director, Labour Relations, Director, Labour Relations, and Executive Director, Labour Relations. The incumbent is also responsible for updating the Labour Relations section on the University HR and Labour Relations SharePoint sites.

  • QUALIFICATIONS REQUIRED

Education

  • University degree with some post-secondary education in human resources management, Labour Relations or an acceptable combination of education and experience.

Experience

  • Minimum two (2) years of administrative experience in a large organization, including providing support to senior executives and committees. Working with HR/ LR policies, procedures, and processes is an asset. Demonstrated experience handling matters of a confidential and sensitive nature.

Skills

  • Highly proficient computer skills (M365 – Word, Excel, PowerPoint, SharePoint), databases and HRIS. Familiarity with Content Management Systems. Proficient in scheduling software (e.g., Outlook). Advanced research skills.
