Job title: Administrative Assistant - Juvenile and Family Services

About the Role Provide clerical and administrative support for the Juvenile and Family Services department, serving as the primary point of contact for the public and staff. This role ensures efficient operations, confidentiality, and strong customer service while assisting coworkers as needed.

What You'll Do

  • Perform reception duties and provide information based on established policies; maintain security and confidentiality.
  • Answer telephones, screen calls, respond to inquiries, and refer callers to appropriate agencies or departments.
  • Open, date-stamp, sort, and distribute incoming mail and process outgoing mail.
  • Prepare, file, copy, bind, and organize documents and informational packets; maintain organized records.
  • Receive, label, log, file, and retrieve data; ensure files remain in order and route as needed.
  • Maintain numeric records (inventory, headcount, information) and manage supplies/equipment.
  • Enter data into computer for documents such as correspondence, agendas, schedules and forms; maintain databases (address lists, inventory, visitor records).
  • Schedule meetings, reserve conference rooms, and maintain calendars for supervisor and clients.
  • Review documents for completion; collect money for items, fees, or services; proofread and verify own work.
  • Assist or orient coworkers; identify priority and time-sensitive materials; perform other duties as required.

What We're Looking For

  • High school diploma or GED.
  • Prior experience and/or training preferred; strong computer knowledge and ability.
  • Ability to respond to injuries as collateral first aid when required; confidentiality and discretion with sensitive information.
  • Excellent customer service and teamwork.

Nice to Have

  • Experience with computers/databases and experience in office environment is preferred.

  • Vacation Leave Accrual by tenure: 0-48 months: 8 hours per month; 49-108 months: 10; 109-168: 12; 169-204: 14; Over 204: 16.67 hours. Sick leave accrual: 8 hours per month; eligibility after one month. Part-time pro-rated.
