Position Summary The Administrative Assistant II – Prison position provides high-quality administrative support to the Directors of Internal and External Programs, as well as full-time and part-time faculty within the Prison Program. This role helps ensure the department operates efficiently, professionally, and effectively while fostering a positive, collaborative, and service-oriented environment for students, faculty, staff, and external partners. The salary for this position begins at $40,359.00 and is determined commensurate with education and experience.

Principal Accountabilities
-
Provide administrative support within the Prison Program department, ensuring efficient daily operations and effective communication among stakeholders
-
Serve as a primary point of contact for departmental inquiries by monitoring shared email accounts, responding to routine requests, scheduling meetings, distributing communications, and coordinating calendar activities

Assist with academic and semester planning activities, including course scheduling support, semester preparation, instructor communications, course material coordination, and maintenance of instructional resources

Coordinate the ordering, tracking, inventory management, distribution/delivery, and return of instructional materials, textbooks, technology, office supplies, and other program resources in accordance with departmental and institutional procedures

Process and maintain departmental records, forms, reports, spreadsheets, evaluations, and documentation while ensuring compliance with college record retention requirements and confidentiality standards

Support student and faculty-related processes, including Prior Learning Assessments, instructor evaluations, academic correspondence, Dean’s List communications, and other programmatic activities

Assist with the management and tracking of instructional technology and equipment, including Chromebook inventory, labeling, distribution, and related records

Support graduation and credentialing activities by coordinating logistics, maintaining inventories of graduation materials, preparing certificates and regalia, and collaborating with correctional facilities, faculty, program leadership, families (where permitted), and Sinclair commencement personnel

Provide on-site operational support at correctional facilities as assigned and maintain collaborative working relationships with facility staff to support program delivery and student success

Assist with special projects, departmental events, meetings, and other initiatives in support of Advanced Job Training, Prison Program, and institutional goals

Other related duties as assigned
Requirements

Minimum of an associate’s degree required; bachelor’s degree in a related field preferred

Minimum of three (3) years of professional office experience required; experience in correctional, law enforcement, or higher education setting preferred

Current working knowledge of and successful professional experience working within the criminal justice system preferred

Professional communication skills to include but not limited to oral and written required
-
Ability to successfully work with diverse constituents, including college faculty and administrators as well as inmates and staff in correctional facilities required

Ability to work on multiple tasks simultaneously while providing great attention to detail while meeting all prescribed deadlines required

Current working knowledge of Microsoft Office and ability to learn necessary college-related databases required
