Position Summary

The Sinclair Administrative Assistant I – Communication will provide a wide variety of administrative support to the Chairperson of the Communication Department and associated faculty in a manner that enables the department to operate efficiently and professionally. This position enables the chairperson and faculty to support Sinclair Community College’s academic mission to provide professionalism, efficiency and productivity to all faculty, staff and students.

The hourly pay rate for this position is $17.98 and has a maximum of 28 hours per week.

  • Principal Accountabilities

  • Administrative/Clerical Support

  • Maintain, coordinate, order and receive classroom and office supplies

  • Generate correspondence, documents, and reports

  • Perform basic reception

  • Process mail correspondence

  • Process and duplicate departmental materials

  • Process requisitions, duplication requests, food requests, pcard reports, and physical plant requests and prepare travel expense requests

  • Prepare and maintain necessary agendas, materials and scheduling for meetings

  • Coordinate and complete process for departmental functions

  • Process paperwork and contact all involved on class cancellations, additions and changes

  • Maintain departmental budgets

  • Complete payroll processes for chairperson, faculty, staff, and students including ACF and Adjunct requests

  • Maintain and process curriculum changes, utilizing curriculum management software

  • Maintain inventory and order textbooks for department

  • Assist in monitoring enrollment and course scheduling

  • Information Technology

  • Provide Colleague technical support

  • Use Word, Excel, PowerPoint, and Access to develop office documents

  • Prepare Employee Requisitions online when needed

  • Communication

  • Maintain, answer questions and solve problems, take messages, transfer calls, and make referrals

  • Prepare and send FAX messages

  • Provide appropriate and accurate information when assisting external and internal customers

  • Send/receive email

Requirements

  • Minimum of a high school diploma or equivalent required; associate’s degree preferred

  • Minimum of two (2) years of office/clerical experience required

  • Ability to work on multiple tasks simultaneously while providing attention to detail and meeting all prescribed deadlines required

  • Ability to work a flexible schedule if work hours/needs change required

  • Computer skills with proficiency in Word, Excel, Outlook, and Power Point and other software programs used by the department required

  • Excellent organization skills and strong attention to detail required

  • Strong interpersonal communication skills required

  • Professional communication skills (i.e. writing, editing, interpersonal skills, telephone etiquette) required

  • Ability to provide customer service in a responsible manner by being knowledgeable, proactive and supportive required
