About the Role The Administrative Assistant supports the Executive Director and the office of the Society of Fellows and Heyman Center for the Humanities. Based in the Heyman Center, this role provides comprehensive administrative support including calendar management, meeting coordination, inquiries handling, and general office operations to enable cross-disciplinary humanities programming. What You'll Do
- Office Operations: daily interaction with faculty, students, and visitors; answer all telephone and email inquiries; route messages; manage mail, packages, and deliveries; maintain supplies; manage purchase orders for multiple entities; compose correspondence; research and update internal databases; organize tasks; supervise work-study and casual staff.
- Programming & Space: arrange catered lunches for regular weekly meetings and other events; maintain the room reservation calendar; assist the Director of the Friends of the Heyman Center with colloquia (publicity, registration, and related tasks); collaborate with the Program Manager on event logistics and provide onsite support as needed; publicize conferences, lectures, and events; support projects with the Outreach and Education Manager (e.g., Rikers Youth Program).
- Administrative Support & Coordination: assist the Associate Director of Finance and Administration with facilities maintenance requests; provide administrative support for the Society of Fellows annual recruitment competition (handling phone and email inquiries). What We're Looking For
- High school diploma or equivalent; some college preferred; three years of related experience.
- Excellent communication, organizational, interpersonal, and administrative skills.
- Strong proficiency in computer applications (Access, Excel, PowerPoint, Word).
- Ability to work independently, manage multiple tasks, and adapt to changing priorities in a busy environment.
- Ability to learn electronic financial systems. Nice to Have
- Some college preferred.
- Experience coordinating events or working in an academic/humanities setting. Compensation & Benefits
- Salary range: $59,312-$60,312 USD annually.
- Regular full-time staff with benefits typical of Columbia University.
