The Admin Supervisor is responsible for supervising and controlling all admin office operations, ensuring accurate, timely invoicing of appliances to customers, retailers, branches and x-dock facilities while maintaining inventory accurate and efficient filing process. He/she is also responsible for managing resources, performance indicators and the security of goods. The Supervisor is responsible for ensuring that safety instructions are applied to his/her colleagues. He/she is responsible for the management of the team entrusted to him/her.

Key Responsibilities

  • Planning

  • Attend daily call with client and present previous day and current day plan.

  • Populate loads on the Smartsheet.

  • Escalate challenges relating to EDI, order already exist in the system and requesting for new orders.

  • Share daily bulk out report to inventory team.

  • Work Processes and Operational Control

  • Ensure all pick slips are printed and handed to outbound team.

  • Ensure all challenges relating to pick slips are escalated and followed through till problem is resolved.

  • Ensure invoicing is done correctly.

  • Communicate with transporter when loads are ready for collection.

  • Ensure all collections are attended to.

  • Prepare daily outbound statistics report and share with management team.

  • Prepare weekly and monthly outbound reports.

  • Streamline Warehouse to Delivery

  • Analyze historical delivery data for patterns.

  • Train staff on new re-working processes to improve on current processes.

  • Monitor error rates and adjust operations accordingly.

  • Implement and train staff on the accurate usage of WMS.

  • Team Leadership & Supervision

  • Allocate tasks daily to Admin Clerks and monitor performance.

  • Train and mentor team members on admin processes, documentation standards, and system use.

  • Conduct monthly performance check-ins with the admin team.

  • Ensure a zero-error culture by implementing quality checks and continuous improvement.

Reporting and Analysis:

  • Update outbound KPIs.
  • Communicate performance to the teams.
  • Ensure all key performance indicators (KPIs) related to Outbound department, such as KPIs, bulk outs and damages are updated daily.

Compliance and Safety:

  • Enforce warehouse safety policies.
  • Ensure proper use of material handling equipment.
  • Maintain clean and organized loading areas.

WHO WE ARE LOOKING FOR:

Someone with:

  • Matric or Diploma/Certificate in Supply Chain, Inventory, Logistics, Business Administration, or a related field.

  • One to two years of experience in Admin Office/logistics/outbound background.

  • Experience supervising warehouse staff.

  • Proven experience with Warehouse Management Systems (WMS) and Microsoft Excel skills

  • Strong analytical skills and attention to detail.

  • Excellent organizational and leadership abilities.

  • Knowledge of relevant industry standards, and best practices in outbound/dispatch management.

  • Strong communication and interpersonal skills.
