Job Summary
- The Administrative Officer will be responsible for providing effective administrative and operational support to ensure the smooth and efficient running of the organisation.
- The role involves coordinating office activities, maintaining accurate records, supporting staff and management, managing administrative documentation, and ensuring compliance with established administrative procedures and policies.
Key Responsibilities

Coordinate day-to-day administrative activities and ensure efficient office operations.

Maintain accurate and up-to-date administrative records, files, registers, and databases.

Prepare, process, and manage official correspondence, memos, reports, forms, and other administrative documents.

Provide administrative support to management and various departments as required.

Coordinate meetings, prepare meeting materials, take minutes, and follow up on assigned action points.

Manage office supplies, stationery, equipment, and other administrative resources, ensuring timely replenishment.

Liaise with internal departments, vendors, service providers, and external stakeholders on administrative matters.

Support staff onboarding, documentation, and other employee-related administrative processes in collaboration with the HR Department.

Maintain proper documentation and filing systems, both physical and electronic.

Assist with travel arrangements, accommodation, logistics, and other administrative requirements for staff and visitors.

Monitor office facilities and promptly escalate maintenance, repairs, security, and other operational issues.

Support the administration of attendance records, leave documentation, staff movements, and other routine administrative activities where applicable.

Assist in preparing periodic administrative reports and providing relevant data to management.

Ensure administrative activities are carried out in line with company policies, procedures, and applicable regulations.

Maintain confidentiality and proper handling of sensitive company and employee information.

Support procurement and payment processes for routine administrative requirements, subject to approved procedures.

Perform other administrative duties as assigned by the supervisor or management.

Qualifications and Experience
-
Bachelor’s Degree or HND in Business Administration, Public Administration, Management, or a related discipline.
-
Minimum of 1–3 years of relevant administrative experience.
-
Experience in a construction, engineering, corporate, or project-based environment will be an added advantage.

Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.

Good knowledge of office administration, records management, and document control practices.

Strong organisational, communication, and interpersonal skills.

Ability to manage multiple tasks, prioritise effectively, and work with minimal supervision.
