About this role
Klinserv Nigeria, a Facilities Management Company, is recruiting suitably qualified candidates to fill the position below:
Job Title: Admin Officer
Location: Surulere - Mainland, Lagos
Employment Type: Full-time
Job Summary
- The Admin Officer provides day-to-day administrative support to the on-site FM team, reporting to and supporting the site Business Controller.
- The role covers documentation and records management, administrative support for reporting, office and front-desk coordination, staff and visitor administration, and support for site procurement and stores paperwork.
- It is the organisational backbone of the site office — keeping records accurate, documents filed, and the many small administrative tasks of a live, busy facility handled promptly and reliably.
- The role suits a detail-oriented, well-organised individual who communicates professionally and takes ownership of keeping the site's administration in good order.
Responsibilities
- Provide day-to-day administrative support to the site FM team and the Business Controller, handling correspondence, filing, scheduling, and general office coordination.
- Maintain accurate, well-organised site records and documentation — both physical and electronic — and ensure files are easy to retrieve and kept up to date.
- Support the preparation and collation of routine site reports, trackers, and registers, gathering inputs from service teams and formatting them to a consistent standard.
- Coordinate the site office and front desk: receive calls and visitors professionally, manage the visitor log, and direct enquiries to the right person.
- Handle staff administration support — maintaining attendance records, leave and roster logs, and staff documentation — in coordination with the Business Controller and HR.
- Support site procurement and stores administration: raise and track requisitions, maintain stock/consumables records, and keep delivery and goods-received paperwork in order.
- Maintain the site asset, document, and contract registers, and support compliance record-keeping (e.g. certificates, permits) with accurate filing and renewal reminders.
- Support petty cash and expense documentation, ensuring receipts and records are complete and reconciled for the Business Controller's review.
- Log and help track administrative and facilities requests through the helpdesk/CMMS and other site systems.
- Prepare meeting logistics — scheduling, agendas, minutes, and follow-up action tracking — as required.
- Handle sensitive information with discretion and maintain confidentiality of staff, financial, and operational records.
- Support event-based and peak-period readiness through timely administrative preparation and coordination.
Requirements
- OND/HND or Bachelor's degree in Business Administration, Office/Facilities Administration, Accounting, or a related discipline.
- 1–3 years' administrative experience, ideally in a facilities, operations, or office-support environment; strong motivated candidates with less experience will be considered.
- Strong organisational skills and close attention to detail, with the ability to keep accurate records and manage multiple tasks at once.
- Good working knowledge of Microsoft Office (Word, Excel, Outlook) or equivalent; comfortable learning a CMMS/helpdesk or ERP system (training provided).
- Clear written and verbal communication skills and a professional, courteous manner.
- Sound numeracy for maintaining trackers, stock records, and basic expense/petty-cash documentation.
- High level of integrity and discretion when handling confidential information.
- Reliable, punctual, and able to work independently as well as part of the site team.
- Comfortable working on-site in a live, high-footfall facility environment.
- Willingness to work flexibly around operational and event schedules where required.
