About this role

About the Role The Admin Clerk / Receptionist role is responsible for administering the receipt, capturing, and distribution of all samples, ensuring accurate information and efficient processing in line with service objectives. This position supports the laboratory workflow by coordinating front-desk activities, patient interactions, and sample logistics to ensure timely processing and delivery of results. What You'll Do

  • Administers sorting and distribution of samples according to standard operating procedures to ensure correct and prioritized channelling of specimens to various laboratories/sites.
  • Processes sample registration (logging) and queries according to standard operating procedures.
  • Dispatches specimens for processing per SOPs and monitors progress and filing of reports, including handling queries and report delivery within prescribed turnaround times.
  • Performs hospital rounds to distribute reports and collect submitted samples for processing in accordance with SOPs.
  • Handles administrative queries and customer complaints, ensuring timely resolution.
  • Tracks progress of sample delivery by couriers to ensure specimens are received, processed, and results returned timeously and in compliance with SOPs.
  • Investigates bottlenecks in pre-analytical laboratory processes and ensures timely resolution.
  • Maintains basic housekeeping in own area and prepares equipment as per SOPs.
  • Monitors stock levels and orders additional stock to ensure availability of required materials at all times and delivery to doctor’s rooms.
  • Represents the organisation with professional, ethical customer care in the medical pathology field.
  • Manages the reception area and directs clients to relevant departments while delivering excellent customer service.
  • Receives cash from patients and ensures banking of monies per SOPs.
  • Reports incidents, logs customer complaints and actions tasks on the LIMS (Oculus) system in compliance with policy.
  • Prepares and scans patient forms onto the laboratory scanning system (Oculus) and resolves scanning incompletes per SOPs.
  • Adheres to Lancet uniform protocols per SOPs. What We're Looking For
  • Minimum requirements: Grade 12 or relevant NQF level 4; BSc degree advantageous; 0-1 year relevant working experience.
  • Skills and competencies: Ability to cope with nervous/distressed patients; ability to work under pressure; teamwork; adherence to dress code; administrative skills; attention to detail; communication; confidentiality/sensitivity; customer orientation; empathy; flexibility; interpersonal skills; patience; telephone etiquette; business numeracy.
  • Additional qualities: Ability to interact professionally with medical professionals and staff; strong customer service mindset.
