Accounts Payable Specialist

We are looking for an Accounts Payable Specialist. This long-term Contract position is ideal for someone with hands-on experience managing day-to-day payables activities and maintaining accurate vendor and invoice records. The role will contribute to smooth financial operations by handling core AP tasks, supporting compliance reporting, and assisting with year-end and process-related initiatives.

Responsibilities

  • Oversee the accounts payable cycle from initial purchase order entry through final payment processing.

  • Create and maintain vendor profiles while ensuring documentation and records remain accurate and up to date.

  • Review, code, and enter invoices with close attention to correct account allocation and approval requirements.

  • Process payments through ACH and check runs in accordance with established timelines and controls.

  • Reconcile vendor statements and resolve discrepancies by coordinating with internal teams and external contacts.

  • Prepare and support annual 1099 reporting to help ensure complete and timely tax documentation.

  • Assist with year-end audit preparation by organizing payable records and responding to documentation requests.

  • Contribute to accounting system enhancement efforts by validating AP-related data and supporting process updates as needed.

  • At least 2 years of experience in accounts payable or a closely related accounting support role.

  • Working knowledge of invoice coding, account coding, and high-volume invoice entry procedures.

  • Experience processing electronic payments, including ACH transactions, as well as scheduled check runs.

  • Familiarity with vendor setup, vendor maintenance, and vendor account reconciliation activities.

  • Practical experience using NetSuite for accounts payable or general accounting tasks.

  • Understanding of 1099 preparation requirements and year-end accounts payable support.

  • Strong accuracy, organization, and follow-through when managing multiple deadlines and financial records.
