We are looking for an Accounts Payable Specialist to join a retail organization in Southlake, Texas in a contract capacity with the potential to become permanent. This position supports high-volume payment processing and vendor transactions, combining hands-on invoice entry with spreadsheet-based imports and weekly disbursement activity. The role begins with an in-office training period and then shifts to a hybrid schedule, making it ideal for someone who is organized, accurate, and comfortable managing recurring payment deadlines.

Responsibilities

• Process a steady volume of vendor invoices each week through manual entry while ensuring records are entered accurately and on time.

• Manage spreadsheet-driven uploads for multiple vendors, adapting to varying file formats and submission processes.

• Handle weekly mileage reimbursement imports and confirm that employee expense payments are prepared correctly.

• Coordinate recurring direct sales vendor payment uploads through Excel and verify supporting details before release.

• Execute weekly payment cycles across electronic and check disbursements, with particular focus on key processing deadlines during the middle of the week.

• Reconcile vendor balances and account activity to identify discrepancies and support timely resolution.

• Maintain supplier records, updating vendor details as needed to keep payment information current and accurate.

• Review and follow up on outstanding checks, researching open items and helping clear aged payment issues.

• Experience working in accounts payable, including invoice processing and payment support.

• Proficiency with Excel for uploads, data review, and transaction handling.

• Ability to manage recurring deadlines in a high-volume environment with strong attention to detail.

• Familiarity with vendor account reconciliation and resolving payment-related discrepancies.

• Comfortable maintaining vendor records and handling routine updates to supplier information.

• Strong organizational skills and the ability to prioritize critical payment activities during peak processing days.

• Background in retail or a similarly fast-paced transactional environment is preferred.
