About the Role
Our client is seeking a hands-on and highly organised Access Control & Facility Support Officer to oversee physical access, front-office operations, workplace readiness, security coordination and day-to-day facility support. The successful candidate will serve as a key point of contact for employees, executives, visitors, contractors and service providers, ensuring that the office remains secure, functional, presentable and professionally managed at all times.
Key Responsibilities
Access Control & Security:
- Manage and enforce the company's physical access control procedures.
- Verify and register visitors, contractors, couriers and deliveries before granting access.
- Manage visitor badges, access cards, keys and other physical credentials.
- Coordinate after-hours access and escalate unauthorised access or security concerns.
- Coordinate the activities, coverage and handovers of the office security team.
- Respond to and document security incidents, escalating serious matters appropriately.
Front Office & Workplace Support:
- Maintain a professional, welcoming and well-organised reception area.
- Receive and assist visitors, including senior executives, investors, clients and other stakeholders.
- Coordinate visitor appointments and meeting arrangements.
- Ensure meeting rooms and boardrooms are properly prepared and ready for use.
- Support the opening and closing of the office according to approved procedures.
Facilities & Vendor Coordination:
- Monitor the condition and functionality of the workplace, including power, water, cooling and connectivity.
- Identify facility issues and coordinate timely maintenance and repairs.
- Supervise vendors, maintenance personnel and contractors while on-site.
- Support office refurbishment, renovations, major maintenance and facility upgrade projects.
- Monitor contractor activities, site conditions, progress, safety and disruption, escalating issues where necessary.
Health, Safety & Emergency Readiness:
- Conduct routine workplace safety inspections and identify potential hazards.
- Maintain records of incidents, hazards, corrective actions and safety activities.
- Support emergency preparedness, evacuation drills and workplace safety briefings.
- Act as an initial coordination point during emergencies and contact relevant responders when required.
Documentation & Reporting:

Maintain accurate records of visitors, contractors, access credentials, incidents, maintenance, inspections and vendor activities.

Prepare daily handovers and periodic operational reports.

Track outstanding facility, security and corrective actions through to closure.

Protect confidential employee, visitor and company information.

Success in the role means ensuring that the company's office remains secure, functional, presentable and ready for business every day, with access properly controlled, facility and safety issues identified early, and incidents or operational problems promptly documented and escalated.
Requirements
- Relevant experience in access control, front-of-house operations, security coordination, facilities support, workplace operations or a comparable role.
- Experience coordinating security personnel, contractors, vendors or other on-site service providers.
- Practical knowledge of visitor management, physical security, workplace safety and emergency procedures.
- Experience supporting office maintenance, refurbishment, construction or facility-related activities.
- Ability to use digital access systems, email and standard office software.
- Strong communication, organisation and recordkeeping skills.
Desirable:
- Training/certification in First Aid, Fire Safety, HSE/OHS, Security Operations or Facilities Management.
- Experience working within a professional services, corporate, investment or similarly confidential office environment.
- Experience with contractor induction and work-site coordination.
